Registration & Assistance

General

Each team must complete an on-line team registration that covers all students, Faculty Advisors, other university staff, BAB members, family and friends.  All participants, including observers, will be issued with a name badge which must be worn to all sessions and to meals to assist with management and security.

(i) National Program Championships registration includes the following steps:


o All team members must be registered with SIFE Global at www.sife.org
o All team members must complete the SIFE Australia Code of Conduct
o All team registrations must be completed by the FA at www.sifeaustralia.org.au/register.php
o All teams must complete an Active Team Sheet at www.sife.org/SIFEForms
o All teams must complete a Team Data Sheet at www.sife.org/SIFEForms
o All teams must email a completed a Project Verification Form to sife@sifeaustralia.org.au
o Only those teams which complete all registrations requirements may attend the event.
o 3 signed copies of the team’s written report must be handed in at Registration on 10 July.


(ii) Top to Future Top Seminar

o Nomination must be made by email by 17:00 on Monday 30 June.

(iii) Honour Awards, Special and Individual Topic Competitions

o Submissions must be made by 17:00 by email on Monday 30 June to sife@sifeaustralia.org.au

Registration Procedures

Registration requirements for the National Conference have been modified to ensure that students and teams are fully compliant with SIFE Global’s quality assurance processes.  In addition, to the greatest extent possible, they will be conducted on-line to enable the direct collection of data.
The Active Team and Team Data Sheets have been implemented globally to track and report the progress of SIFE teams around the world.  All teams are required to complete these forms online prior to attending the National Conference.  The forms are for SIFE WHQ use only and will not be shown to judges.  It is highly valuable in compiling SIFE’s official statistics and in determining future goals, thus it is important that teams record accurate information.
Registration for the 2008 SIFE Australia National Conference is in two parts, team and individual.
Each team must:

  • by 30 June, complete the 2008 National Conference on-line Team Registration Form at:
    http://www.sifeaustralia.org.au/register.php
  • by 30 June, complete the SIFE Global on-line Active Team Sheet and Team Team Data Sheet, as well as the Project Verification Sheet.
    N.B. The Project Verification Sheet must bear all three signatures (Team President, Faculty Advisor and Institutional Administrator) to be valid.
  • on 10 July, attend the Registration desk and submit three (3) copies of their Annual Report.
    Each individual, including all students and Faculty Advisors, must:
  • on 10 July, attend the Registration desk to be issued with their individual name badge.

For security reasons, individuals must collect their name badges personally.

Participation Assistance - Travel, Accommodation and Meals

All travel arrangements and payments are the responsibility of the team or individual(s).  NO advances will be paid but payment of subsidies will be expedited by prompt submission of fully documented claims accompanied by receipted tax invoices, using the attached Subsidy Claim Form.

Each team may be assisted to participate in the competition as follows:

  • SIFE Australia may reimburse up to $1,000 of the receipted cost of accommodation for a team in arrears.  This may be applied to accommodation at the Hilton or elsewhere.
  • SIFE Australia may reimburse up to a set amount of the receipted cost of travel by public air, rail or road transport for a team or may pay a vehicle fuel allowance in arrears.
  • Meals may be provided for up to 10 team members, including students, FAs, alumni, BAB members, community or corporate project beneficiaries or university staff members, from Thursday lunch to the reception on Saturday.  Additional team members/supporters may attend events other than meals free of charge.  Additional meals may also be purchased.
  • Faculty Advisors registered on UMS who accompany a correctly-registered competing team and attend both the I21 Conference on 10 July and the Regional Coordinators’ Conference on 11 July will be eligible for a cash stipend of $1,000.  There is a limit of one stipend per team.

Travel

Teams may arrange to travel at times and on dates of their own choosing, provided that they arrive by 15:00 on Thu 10 July and do not depart before the end of the Awards Ceremony on Sat 12 July.

SIFE Australia will reimburse teams up to a specified limit for receipted travel expenses by air, rail, coach, taxi or private vehicle in one of two bands, based on departure port, as follows:

A - up to $1,000   

  • Adelaide 
  • Albury 
  • Armidale
  • Canberra 
  • Hobart 
  • Melbourne
  • Mildura 
  • Newcastle
  • Sydney 
  • Wollongong

B - up to $2,000

  • Darwin
  • Perth


Students travelling 75 Km or more to Brisbane or to the nearest airport by private vehicle will be assisted with a fuel subsidy of the receipted cost of up to 25 litres of petrol, diesel or lpg equivalent for up to four vehicles per team of ten members.  Receipted parking expenses may also be claimed.

Accommodation

SIFE Australia will reimburse teams up to $1,000 for receipted accommodation expenses at either Hilton Brisbane or any other facility.  Rooms are available at the Hilton Brisbane at the discounted rate of $265 per bed night, including Continental breakfast, twin share basis.  Teams must make their bookings directly with the hotel and are responsible to settle the balance of their accounts at check out.

Meals

Each competing SIFE team may register ten members (students, Faculty Advisor, BAB members, observers, etc.) at no charge.  All meals will be provided for the first ten individuals registered with each team.  The charges for additional participants will be:
 Thursday Lunch   $25.00
 Thursday Reception   $25.00
 Friday Lunch   $25.00
 Friday Reception   $25.00
 Saturday Lunch   $25.00
 Saturday Reception   $25.00
 Total for whole event $150.00 Note that these are subsidised rates.

Note that guests and observers may attend Morning and Afternoon Tea breaks without payment.  Note also that a forecast of additional meals is required as part of the on-line Team Registration and that payment for additional meals must be made by 5.00 pm on 10 July.

Cross Subsidisation

Within the prescribed limits, teams may apply subsidy in one area to another, e.g., saving on travel may be applied to additional expenditure(s) on accommodation and/or meals, or vice versa.  Teams should advise their intentions in this regard as soon as possible by email to sife@sifeaustralia.org.au and by 1 May at the latest.
